CIP Global Executive Search AB's policy for handling personal data

This policy has been established by CIP Global Executive Search AB. The information is intended for individuals with whom we have a long-term career partnership, hereafter referred to as “candidates” or “you.”

Acquisition of personal information

The information we process about you includes, for instance, your name, email addresses, or phone numbers, CV and other work-related details, photos, or IP addresses.

Collection of personal data occurs through various means. For example, you may directly share your information with us via email or manual upload through cip-search.se. It’s also common for us to gather personal data from external networks such as LinkedIn or other platforms focused on recruitment and career transitions. Below are examples of sources where we may collect personal information about you:

  • Information you provide. Information that you provide to us via email, over the phone/orally, a physical copy of your CV, or business cards.
  • Information you have made public. Personal data that you have chosen to share publicly, for example, via social media.
  • Information from third parties. Information provided to us by third parties such as credit reporting agencies, law enforcement authorities, or others.

CIP Global Executive Search may also generate personal data about you, such as notes regarding your interactions with us and any interactions we have with clients on your behalf.

Legal basis for processing personal data

The purpose of processing personal data for candidates who have consented to being part of our network is to maintain a long-term relationship and for us to act as the candidate’s long-term career partner. CIP Global Executive Search AB will not actively collect or process sensitive personal data (such as information about trade union membership, political opinions, sexual orientation, or religious beliefs) or data irrelevant to recruitment and/or consultancy hiring. It’s therefore important that as a candidate, you do not provide such sensitive personal information or information irrelevant to the services you are seeking. Because we and our clients demand high standards from individuals, there might be cases where we need to conduct personality and/or competency tests, background checks, and credit checks provided by an external provider (a third party). Your personal data may be transferred to and processed by a third party for the execution of such tests. When processing your personal data for the purposes outlined in this policy, we may refer to one or more of the following legal bases, depending on the circumstances:

  • Consent: We can process your personal data if we have obtained explicit prior consent from you. This legal basis applies only to processing that is entirely voluntary, not for processing that is in any way necessary or mandatory.
  • Legitimate interests: We may process your personal data if we have a legitimate interest in doing so for the purpose of administering, operating, or marketing our business, provided that this legitimate interest does not override your interests or fundamental rights and freedoms.
  • Contractual necessity: We may process your personal data if it is necessary in connection with any agreement you enter into with us.

  • Vital interests: We may process your personal data if it is necessary to protect an individual’s vital interests.

Possible purposes for our processing of your personal data

The purpose of processing personal data for potential candidates is that a significant part of CIP Global Executive Search AB’s core business involves finding candidates for recruitment and/or consultancy hiring processes and being able to contact or convey job offers to them. We can process your personal data for the following purposes, in accordance with applicable law:

  • Provide services to you: Provide our websites or services to you, furnish services you have requested, provide you with promotional materials upon your request, or communicate with you in connection with any of these.
  • Our websites: Operate and administer our websites, display advertisements and other information to you, communicate and interact with you through our websites, and notify you of any changes to our websites or services.
  • Communication: Deliver news and other information you may be interested in through various communication channels such as email, telephone, SMS, social media, letters, or in-person meetings, provided that we ensure this communication is delivered to you in accordance with applicable law, maintain and update your contact information where appropriate, and obtain prior active consent (opt-in) from you when required.
  • Communication and IT systems: Operating our communication systems, managing IT security systems, and conducting IT security audits.

  • Financial purposes: Sales, finance, corporate audits, and vendor administration.

  • Surveys: Contacting you to request your feedback on our services.

  • Security: Physical security within our premises (including visitor logs) and electronic security (including login records and access information).

  • Legal actions: Establishing, exercising, and defending legal rights.

  • Compliance with laws: Complying with legal and regulatory requirements as per applicable law.

  • Improving our websites and services: Identifying issues with our websites or services, planning improvements for our websites and services, and developing new websites or services.

International transfer of personal data

As our operations are international, we may transfer your personal data within the international network of CIP Global Executive Search AB for international search assignments and to third parties for the purposes outlined in this policy. Therefore, your personal data may be transferred to countries that have different laws and data protection requirements than those in Sweden.

Archiving of data

The personal data we process is retained until you decline our offer to become your career partner or until we are no longer your career partner. We are not considered your career partner until either you or we actively choose otherwise. For instance, we may assess deleting your personal data if you haven’t been in contact with us for a period of 24 months or if your profile is no longer suitable for our mission. We will inform you before such deletion occurs, allowing you to provide reasons for not deleting.

 

 

Your rights under the law

You have the right to confirm what information we process about you by requesting a record extract. You also have the right to request rectification (correction of inaccurate information), erasure (removal of personal data no longer necessary for processing), restriction (partial cessation of processing your personal data), and the right to receive the data we process about you in a structured, commonly used, machine-readable format if you wish to transfer it to another entity. In cases where CIP Global Executive Search AB’s processing of your personal data is based on your consent, you have the right to withdraw your consent at any time. Withdrawal does not affect the lawfulness of processing based on your consent before its withdrawal. If you withdraw your consent, CIP Global Executive Search AB will no longer process the personal data based on your consent, unless there are legal reasons obligating us to continue processing them. If our legal obligations prevent us from deleting your data, we will instead mark them so that they are no longer actively used in our systems.

Automated decision-making

There is no automated decision-making (including profiling) taking place.

 

 

Direct marketing

CIP Global Executive Search AB may process your personal data to contact you via email, telephone, mail, or other communication channels to provide information about services that may be of interest to you. If we provide services to you, we may send you information about our services and other relevant content, using the contact information you have provided to us and always in compliance with applicable laws. You can opt out of receiving further email communications at any time by clicking on the unsubscribe link provided in each such email. If you opt out, we will cease sending further emails, but we may continue to contact you to the extent necessary for any services you have requested.
